Project Coordinator – Immunology and Hematology Program

We provide a great work environment that people love being a part ofPOSITION OVERVIEW The Project Coordinator provides administrative support and works closely with the program’s Directors as well as the consortium’s Directors, Project Managers, and other Project Coordinators to facilitate and support the Critical Path’s multiple global, virtual workgroups that work together in their efforts to advance drug development tools and accelerate therapy development.SUPERVISORY RESPONSIBILITIES NoneCORE DUTIES/RESPONSIBILILITIES Assist the Project Manager(s) in tracking master schedules; establish priorities and change schedule according to projects, work specifications, established priorities, and availability or capability of project team.Using Outlook, book any necessary meetings for the program and consortia Executive Director and Project Managers, including recurring and ad hoc meetings with internal and external members.Record minutes and communicate meeting discussion points and actions.

Keep the membership roster and member contact information up to date.

Track expenses and submit expense reports.Assist the Project Manager with the development of project work plans and revise as appropriate to meet changing needs and requirements.As appropriate, aid in the preparation of documents for submission to the regulatory agencies for review and qualification or submitting for publication to medical journals.

Ensure project documents are complete, current, and stored appropriately.

Coordinate all aspects of planning and execution of the consortium’s annual meeting and other ad hoc off-site events.

Arrange for any necessary travel for internal team and select stakeholders, when required.Monitor consortium’s website traffic and assure accuracy and timely updates.As needed, assist with any company-wide administrative needs, covering the front desk, helping prepare or clean up from on-site events, etc.REQUIRED KNOWLEDGE, SKILLS AND ABILITIES Works well independently and in a team-oriented, collaborative environment.Strong oral and written communication skills with familiarity in technical scientific language and writing.Professional business writing skills to include composing reports, correspondence, and other documents.Detail-oriented and keen editorial eye.Good problem-solving and organizational skills.Self-motivation and the ability to work in a fast-paced environment with top performers.Proficient use of Microsoft Office Suite: Word, Excel, PowerPoint, Teams, Outlook and Adobe Acrobat.Proficiency using SharePoint.Familiarity with CVENT, Zotero, Zoom, and SutiExpense.REQUIRED EDUCATION AND EXPERIENCE A four-year degree in business management, preferred.Experience in the administrative roles, preferred.Experience in healthcare-related organizations, preferredProject management experience, preferred.
