Association Administrator 

We are currently seeking an Association Administrator to join our team in a hybrid role in Lexington, Kentucky.

The Association Administrator will serve as a vital and valued member assigned to 3-4 client teams; committed to delivering high quality service to each team, client, and their members. The Association Administrator will be responsible for providing support and coordination on conference and event activities; managing the member database, assisting with member communications and social media and other various projects and tasks as assigned. Major Responsibilities:

  • Provide administrative, task-oriented support (compiling reports and documents, assisting with mailings, archiving materials, keeping track of inventory, etc.) .
  • Communicate effectively with the members of the AMR teams and assigned clients.
  • Work closely with client teams to address and resolve issues / concerns specific to those Establish and maintain the accuracy of the membership and conference database records for assigned associations; including but not limited to: entering client data, processing conference registrations and merchandise orders, assisting with membership dues and renewals, and conference payments, refunds, and unpaid balances, generating reports, and performing audits as needed per client.
  • Identify and bring forward problems/issues using the data and information you have available, to establish facts and make recommendations.
  • Support client conferences including creation of name badges, rosters, and other materials; manage and create registration form; schedule and coordinate shipments, pack and ship materials, receive shipment upon return and manage inventory.
  • Provide support on special projects.
  • Travel to client conferences (2-4 times per year) to lead registration desk efforts, including but not limited to: on-site registration processing, attendee check-in, merchandise sales, and registration payments.
  • Work with accounting to ensure the timely, accurate production of financial reports as required.
  • Provide a high level of customer service and monitor and respond timely to all client inquiries and requests (phone, email, web form).
  • Ability to work overtime as needed.

Are you Qualified?

  • Bachelor’s degree preferred
  • 1-3 years’ experience in data entry, customer service, and/or administrative support.
  • Experience with Association Management Software (AMS), Customer Relationship Manager (CRM), or other database is a plus, but not required.
  • Proficient knowledge of Office 360/SharePoint and Microsoft Office Suites.
  • Self-starter, proactive in solving problems, self-motivated to meet deadlines and achieve goals
  • Adaptable/flexible; able to manage competing demands and changing priorities in a fast-paced role, multi-task, and able to handle regular interruptions.
